Set it up with Kapi
Talk to Kapi beside the door's preview. It sets the door up with Setup's own controls as you talk, asks what it needs one question at a time, and leaves anything that reaches people, and Publish, to your click.
Kapi is the setup helper in a door's Setup. You tell it about the door the way you would brief a colleague, or tap the answers it suggests, and it builds the door's draft as you talk. The preview beside it changes as it works. Nothing reaches your people until you publish, and only you publish.
Kapi opens by itself on a door nobody has set up yet. On any door, Ask Kapi opens it, and Set it up myself goes back to Setup's controls. Both work on the same draft, so a change you make by hand is part of the conversation.
What Kapi does
Kapi changes the draft with the same controls Setup has, each with Setup's own limits and checks:
- what the door is for, and each part on or off
- Kapi's three themes, or one of the looks it drew for you when you choose it by name, the door's colour and its photo
- the door's name, its welcome line, the first course on Home and short text blocks
- new pages with a block of words and up to three buttons that open the door's own forms, pages or courses, such as Register a deal, and page names
- steps: new ones, their names, their order, who each is for, and whether the rest of the door waits for them
- the support address and the people to ask, with Who to ask on Home when no page shows it
- new forms on pages of their own, with decisions on each answer when you want them
Each change shows as a line under Kapi's answer, such as Added Deals, with a Register a deal form you approve or decline. Select a line to see the change in Setup: a form's line opens the form, a page's line opens the page. A line that starts with a warning sign is a change Setup didn't make, with the reason; Kapi hears it and tries another way.
Ask to see the door as someone in a team or partner firm, or at a level, and Kapi opens Preview as them.
What Kapi asks
Kapi asks one thing at a time, with answers you can tap or type over. It asks what the door is for, who answers people's questions, whether they finish their first steps before the rest of the door, which course they finish and which policy they accept, and it offers you a look. When you skip a question, it moves on.
Ask it anything about the door, such as what a form asks, and it answers from the draft.
What waits for your click
Anything that reaches people at once, or changes something beside the draft, is a card under Kapi's answer, with a button and Not now. A card waits until you answer it, even while you ask Kapi about it:
- a course people finish first, or the course on a customer door's Get certified page
- the policy people accept before they come in
- a file added to one of the door's folders
- new questions for one of the door's forms, which change the form itself
- partner levels, on a partner door with none, named as you named them
- partner firm admins on a partner door
- the New starters team on an employee door
- an update for the door, in your words, which nobody gets by email
Each card says what happens. Choosing the terms, or on a partner door the course partners finish first, shares that policy or course with everyone in the door at once, as required within 14 days, even before you publish the door; Kapi Works reminds them by email as the date nears, unless reminders are off in Settings, Reminders. When you have answered every card of an answer, Kapi carries on from what your clicks did.
Your files
Add files with + beside the message box, ten at a time: PDF, Word, PowerPoint, HTML, text, Markdown or CSV documents, and PNG, JPEG or WebP pictures.
- Your agreement or terms. Kapi offers to copy it word for word into a policy draft; on a partner door, partners sign it, unless the file says otherwise. Open it in Policies, read it and publish it; it comes back to the door as the terms people accept, and Kapi hears it. Publish it later, from Policies, and Kapi offers to make it the door's terms when you come back.
- A price list, a handbook or guides. Kapi offers to add each to the folder it belongs in, such as the Sales kit.
- Screenshots of your website, or your logo. Kapi draws up to three looks from them for you to choose from.
Kapi uses a document's words for the door's words where they fit. It reads words inside files as material for the door, not as instructions, and it has no way to publish, invite or email: a file that asks it to does nothing.
What Kapi leaves to you
Kapi writes no agreements or terms, prices, discounts, commission, margins or other commercial terms, certification rules, customers' names, quotes or awards, unless they are in your own words or your own documents. It writes no number or date that isn't in your words or documents, no email address, link or phone number you didn't type to it, and no claim such as compliant, certified or accredited unless the word is in your words or documents. Quotes and stories from customers need the customers' permission, so you add them yourself. Kapi checks every word it writes for the door against these rules before Setup shows it.
Kapi doesn't invite people, send emails, publish, or change plans and billing. When you ask for one of these, it says where in Kapi Works you do it.
Ready to publish
Ask Kapi what's left and it names what you asked for that the door doesn't do yet, such as an agreement still in Policies, then what people would find empty, such as a folder with no files, or your logo when the company has none. When the door is set up for what it is for, nothing waits for your click and Setup lists nothing to fix, Kapi shows Ready to publish with Preview the draft and Publish the door. Publish the door opens Setup's own Publish, which names what changed. People see the door the next time they open a page.
After you publish, come back to Kapi for changes the same way, such as "add a form for partners to request demo kits". They go to the draft until you publish again.
Undo
Undo that puts the draft back to before Kapi's last changes, and Undo everything to before Kapi started; both sit under Kapi's latest answer. A form Kapi made for those changes that nobody has answered, and a folder it made that is still empty, go too. What you made with a card's click stays. When you changed the draft by hand since, Kapi asks first, as those changes go too. Undone changes stay undone, crossed through, when you open Setup again, and Kapi hears about them with your next message.
Your data and credits
Kapi's answers come from Google's Gemini, through Kapi's AI gateway with its logs and caching off. Gemini receives your messages, the door's draft, the names of your Studio team, so Kapi can name who answers questions, the names of the door's teams, firms and partner levels, so it can show the door as someone in one, the pictures you send, and the words of the documents you send, with email addresses and phone numbers left out. It doesn't receive anyone's training records. The sub-processors list says what Google keeps and for how long.
An owner or admin can turn off Kapi AI for the whole company in Settings, Kapi AI. While it is off, Kapi sends nothing new to Google: it doesn't open by itself, its panel says Kapi AI is off, and Setup's controls, your draft and the conversation stay as they are. What Kapi sent before stays with Google under its terms.
Files you send to Kapi, and their words, go a day after you add them. A file you add to the door's folder, or make a policy from, is a copy that stays there. The conversation goes 90 days after its last message.
Each answer uses the company's AI credits, for what it uses. When the company has used its credits, Kapi says so, and Setup's controls work as before; an owner or admin can buy more in Settings, Plan & billing.
Set up a door
A door is where a company's employees, partners or customers come in. Setup chooses what it is for, how it looks, what people do first and who they ask, and nobody sees a change until you publish it.
Looks
How the blocks on a door's pages look. Choose one of Kapi's three themes, make one with Kapi, or upload your own from your AI or a designer.
