# Connect HiBob

Bring the people in the Bob departments you choose into Kapi Works, and keep them in step as people join and leave.

Kapi Works connects to HiBob (Bob) so the people in the departments you choose take your company's training, and leave it when Bob makes them inactive. This guide is for the Kapi Works owner or admin and the Bob admin who installs the app. One person can be both.

## What Kapi Works reads

* **Reads:** each active employee's name, work email address and department, and whether Bob lists them as active.
* **Does not read:** pay, bank details, home addresses, documents or anything else in Bob.
* **Changes in Bob:** none. Kapi Works only reads.

## Before you start

* A Kapi Works owner or admin account for your company.
* A Bob admin who can install apps from Bob Marketplace.
* The departments that should take training in Kapi Works.

## Connect

1. In Kapi Works Studio, open **Settings → Connectors → HiBob** and click **Continue with HiBob**. If you start from Bob Marketplace instead, Bob sends you to this page first.
2. Bob asks a Bob admin to install Kapi Works. Under **People data access**, choose **All company**, or a condition that includes everyone who should take training. Kapi Works sees only the people you allow here.
3. Approve. Bob returns you to Kapi Works, which says HiBob is connected.

Nothing changes in Kapi Works until you start syncing.

## Choose who comes in

1. Choose departments, or **Everyone**.
2. Choose the employee audience they join, and a team for each department.
3. Click **Preview**. Kapi Works counts who will be invited, who is already here, who has no work email, and who would wait for a place on your plan.
4. Click **Start syncing**.

Kapi Works invites the new people to your employee academy, where you assign their training.

## How syncing works

* Kapi Works syncs once a night, around 2 a.m. in your company's time zone. Click **Sync now** to sync at once.
* A new starter in a chosen department is invited when Bob lists them as active.
* When Bob makes someone inactive, for example after they leave, Kapi Works pauses their access. If Bob makes them active again, their access comes back.
* If one sync would pause many people at once, Kapi Works stops and asks an admin first: **Allow, and pause** them, or check Bob.
* **Change who comes in** lets you add or remove departments later, with a new preview.

## Disconnect

1. In Kapi Works Studio, open **Settings → Connectors → HiBob** and click **Disconnect**. Kapi Works stops syncing and keeps everyone as they are.
2. In Bob, uninstall Kapi Works. Bob has no way for Kapi Works to uninstall itself.

To connect again later, start from **Connect** above.

## If something goes wrong

* **Someone is missing:** check that Bob lists them as active, that they are in a chosen department, and that **People data access** in Bob includes them. To change People data access, uninstall Kapi Works in Bob and install it again.
* **Reconnect HiBob:** Bob stopped Kapi Works' access, usually because the app was uninstalled in Bob or not used for 30 days. Click **Reconnect** and approve again in Bob.
* **People wait for a place:** your plan is full. Free places, or change your plan, and they are invited.
* **No work email:** Kapi Works needs a work email address in Bob to invite someone.
